Conditions for passing the academic year 2023/2024 – I – V year
I – III year
The set of signed documents should be submitted in person in the School’s Office (during office hours – 10am-2 pm, Monday- Thursday).
Below you will find documents you should submit in order to pass the academic year. They should be submitted until 16th September 2024 the latest. We encourage these of you, who have already got credits for all the classes, to submit the annual report right now, which lets you pass the year faster and avoid the queue to the Office in September.
1. PhD Student’s Annual report – applies to current 1st , 2nd, 3rd and 4th year
The filled report should be submitted along with the attachments up to 16th September 2024.
1st year PhD students admitted on 1st March 2024 or later, may submit their annual report up to 28th February 2025. 2nd year’s students submit the annual report apart from the documents for the mid-term evaluation.

Supervisor’s opinion confirmed by signature,

Practice form, it should be previously presented to the internship coordinator for the discipline to enter the credit in USOS,
- External seminar form, (ONLY in case of seminars outside the University of Warsaw or the seminars without an USOS code), before submitting it should be presented to the discipline coordinator in order to enter the credit for the research seminar in USOS.

2. To pass the year in USOS, you have to be given credits for all courses demanded by the Program of Study. You also have to have all courses linked to the program and the stage of study.
Ist year programme: new programme of studies -2023 (uw.edu.pl)
II-III-IV year programme: Astronomy , Biological Sciences , Chemical Sciences , Physical Sciences , Mathematics , Computer Sciences , Earth and Environmental Sciences
In case you have not attended the demanded course and have not got the credit for, you should submit an application to the Director of the School, asking for the possibility of realizing the missing course in the next academic year.
3. Individual Research Plan – it applies to 1st year only
The form must be submitted up to 16th September 2024. This deadline applies to 1st year PhD students who were admitted to the School on 1st October 2023. PhD students, admitted on 1st March 2024 or later, may submit their IRP up to 28th February 2025.
IVth / Vth year – completion of education
PhD students who plan to submit a disseratation in the coming months (before 30.09.2024) should first submit an annual report together with an internship card/seminar card and the supervisor’s opinion. You should also check the classes along with education program and USOS: Astronomy , Biological Sciences , Chemical Sciences , Physical Sciences , Mathematics , Computer Sciences, Earth and Environmental Sciences . After submitting and verification PhD student receives a document about reciving a PRK 8 module. This document is necessary to submit finally disseration to the Office of Scientific Councils. It takes around 1 week to produce this document so please remember to request early enough.
When PhD student submits a doctoral disseration – education at the Doctoral School is completed.
IVth year – extension of the deadline for submitting a doctoral dissertation
Everyone who suspects that they will not be able to submit their dissertation in BRN (Biuro Rad Naukowych) in time (30.09.2024 or 28.02.2025 in case of students who started education on 1.03.2021) should submit a request for an extension of the deadline for submitting a doctoral dissertation. Failure to submit the doctoral thesis by September 30 without an application for the extension will result in removal from the list of doctoral students.
We would like to remind you that education in the doctoral school lasts for 48 months (plus suspensions periods – if they have been in the past). In your IRP you have included the expected date of submission of your doctoral dissertation. For most people from the 4th year the provided date is 30th September 2024.
The request with justification and an indication of the time needed to submit your thesis (e.g. 1 year), with the supervisor’s extensive support, addressed to the director of the doctoral school should be submitted to our office after finishing all of your courses, e.g. in July. The request has to be accompanied by the annual report for the 4th year, with the opinion from your supervisor and seminar/internship card.
We will accept the original version of the request in our office (not possible to send by via e-mail). Please remember that during the extension you will keep the student status, but doctoral scholarship is paid only for 48 months, so you do not get paid at the extension of your studies.
